Send quotes and invoices on WhatsApp

Email is where invoices go to be forgotten. In South Africa, the message that actually gets read is the one on WhatsApp. QuipDesk lets you send any quote, invoice or statement as a secure link straight into the conversation you are already having with your client.

What you get

Built around how the work actually runs

A link that belongs to that client

Every client has their own portal token. The link you send opens their documents, not a generic website page, and it cannot be guessed.

They can pay from the chat

The portal opens on their phone with the payment options you have enabled, so approving a quote or settling an invoice takes one tap.

Statements too

Send a full account statement with 30, 60 and 90 day ageing over WhatsApp when a client asks what they owe.

Nothing to install

QuipDesk opens WhatsApp with the message ready. You press send from your own number, so the client sees a person, not a robot.

Still on the record

The document, its status and every view are logged in QuipDesk, so a WhatsApp send is as traceable as an email one.

Email in parallel

Send the same document by email as well, so there is a formal copy in an inbox for the client's records.

How it works

From first contact to money in the bank

  1. 1

    Save the client's mobile number

Add it to the client record once and it is used for every WhatsApp send after that.

  2. 2

Open the document and choose Send

Pick WhatsApp from the send menu on any saved quote, invoice or statement.

  3. 3

    Press send in WhatsApp

The message opens with the client's secure link and a short covering line you can edit before sending.

  4. 4

    Watch it land

The document status moves to sent, and you will see when the client opens the portal and when they pay.

Why this works better than an attachment

Sending a PDF into a chat feels quick, but it creates problems you only notice later.

  • An attachment is a dead end — the client cannot approve or pay from it.
  • You have no idea whether it was opened.
  • The client ends up with five versions and asks which one is current.
  • There is no record on your side beyond your own chat history.
  • A portal link always shows the current document, with the current balance, and gives the client a button to act on.

The client's side of it

Your client taps the link and lands on a page carrying your branding, with the document laid out cleanly on mobile, a download button if they want the PDF for their records, and payment options if you have enabled them. They see their own history too — past invoices, what has been paid and what is outstanding.

Questions

Common questions

Do I need the WhatsApp Business API?
No. QuipDesk prepares the message and opens WhatsApp on your device, so it works with the WhatsApp account you already use for your business.
Is the link safe to send in a chat?
Each link carries a long random token tied to that one client. You can revoke and reissue a client's portal access at any time from their profile.
Can the client pay through it?
Yes, using whichever of PayFast, Yoco or Paystack you have connected. The payment records itself against the invoice.
Which plans include this?
WhatsApp sending is available on every QuipDesk plan, starting at R129 a month.
