VAT invoicing

VAT invoicing software that keeps you SARS-ready

Once you are VAT registered, an invoice is no longer just a request for payment — it is a tax document, and it has to carry specific information to count as a valid tax invoice. QuipDesk builds those requirements into the document itself, so you are not relying on remembering them every time.

What you get

Built around how the work actually runs

Valid tax invoice fields

The words 'Tax Invoice', your registered name and address, your VAT number, a sequential invoice number, the date and the VAT amount are all present on every document.

Per-line or per-document VAT

Mix standard-rated, zero-rated and exempt lines on the same invoice when a job calls for it.

Inclusive or exclusive pricing

Quote how your industry quotes. QuipDesk shows the VAT breakdown correctly either way.

Sequential, gap-free numbering

Prefixes, padding and per-year resets, with the sequence controlled by the system so numbers are not reused.

Period VAT summary

Output VAT for any date range, exportable to CSV or PDF, so your VAT201 preparation starts from real figures.

Credit notes handled correctly

Reverse or correct an invoice with a proper credit note rather than editing history, keeping your audit trail intact.

How it works

From first contact to money in the bank

  1. 1

    Enter your VAT details once

Add your VAT number and registered details in settings and set VAT to apply by default at 15%.

  2. 2

    Invoice as normal

VAT is calculated as you type, including on discounted lines, so the total on screen is the total the client owes.

  3. 3

    Track what has been collected

Payments are matched to invoices, so you can see collected versus invoiced VAT for a period.

  4. 4

    Export for your accountant

Pull the VAT summary and the underlying invoice list for the period and hand both over.

What a South African tax invoice must show

For a full tax invoice, the document generally needs to carry the following. QuipDesk populates all of it from your settings and the client record.

  • The words 'Tax Invoice', 'VAT Invoice' or 'Invoice'.
  • Your business name, address and VAT registration number.
  • The client's name and address, and their VAT number where they are registered.
  • A serial number and the date of issue.
  • A description of the goods or services supplied, and the quantity or volume.
  • The value of the supply, the VAT charged and the total, or the total with a statement that it includes VAT at 15%.

This is software, not tax advice

QuipDesk formats your documents to carry the information a tax invoice is expected to show, and gives you the reports to prepare a return. It does not replace your accountant, and it does not file on your behalf. For anything specific to your registration, thresholds or filing obligations, speak to a registered practitioner or check the current guidance on the SARS website.

Before and after registration

If you are not registered yet, run with VAT switched off and issue ordinary invoices. On the day your registration is effective, add your VAT number and switch VAT on — earlier documents keep the form they were issued in, and new ones become tax invoices.

Questions

Common questions

Can I show prices including VAT?
Yes. Choose inclusive or exclusive pricing per document and the VAT breakdown adjusts to match, so the client sees a total that reconciles.
Do you handle zero-rated and exempt supplies?
Yes, at line level, so a single invoice can carry standard-rated and zero-rated lines with the correct totals for each.
Can I correct an invoice that has already gone out?
Issue a credit note against it and re-invoice. That keeps a clean, auditable trail instead of silently changing a document a client already has.
Does QuipDesk submit my VAT201?
No. QuipDesk produces the figures and the supporting invoice list. Submission stays with you or your accountant.
