Creating, sending and tracking a quote

Line items, VAT, discounts, validity dates and what happens after your client opens it.

Building the quote

  1. 1Quotes → New quote, then choose the client (or start from the client's profile to have them preselected).
  2. 2Add line items manually or pull them from your saved products.
  3. 3Set a per-line or document-level discount if you need one.
  4. 4Check the validity date — it defaults to the value set in Settings → Numbering & terms.
  5. 5Add notes and terms; both accept formatted text and appear on the PDF.

Sending it

Use the Send dropdown on a saved quote to email it or share it on WhatsApp. WhatsApp uses the client's own portal link, not the website address.

What happens next

  • Your client opens the portal link, reads the quote and can approve, decline or ask a question.
  • You get an owner alert when the quote is viewed and again when it is approved.
  • An approved quote is converted into an invoice automatically and the invoice is emailed to the client.
